Off-Campus Catering Permit
Any recognized student, faculty or staff organization must secure a campus catering permit from the Director of Food Services prior to scheduling or contracting any activity that includes the serving of food not prepared by Appalachian Food Services. This permit must be displayed by the vendor. Unauthorized private vendors in violation of this policy will be required to comply or vacate the campus.

Are you hosting an event on campus where alcohol will be served? Don't forget to submit a Request for Alcohol Approval at least 10 business days in advance - failure to do so may result in the cancellation of your event.

- In coordination with the Department of Environmental Health, Safety, and Emergency Management, Food Services is committed to helping event hosts ensure the food safety of attendees, and have an incident free event.
- When should I use a catering permit? When should I submit my form?
- When food from off campus is brought on to campus by a university group to be consumed.
- It is recommended that catering permits be submitted for approval at least ONE WEEK prior to the event.
- A permit that does contain potentially hazardous food, or does not provide adequate detail of the event may receive follow up questions and ask for a re-submission depending on the clarification and changes needed.
- What is a potentially hazardous food?
- Potentially hazardous foods are “a food that is natural or synthetic and requires temperature control because it is in a form capable of supporting the rapid, progressive growth of infectious or toxic microorganisms,” according to the Food and Drug Administration.
- What is the correct handling of potentially hazardous food? What precautions are required for potentially hazardous foods?
- Potentially hazardous food must be kept to temperature (cold food kept cold, hot food kept hot). Groups wishing to serve potentially hazardous food must have the food delivered and set up by the company supplying the food to ensure food safety and best risk management practices.
