We thank you for selecting Appalachian Catering to host your special event. Our Event Coordinators are ready to assist you with any and all aspects of your occasion. We ask that you take a few minutes to familiarize yourself with the following policies. This information is intended to assist you in planning a successful event and familiarize you with our services.

All food agreements are made upon and subject to the rules and regulations of Appalachian Food Services and the following terms and conditions:
Food & Wedding Cake
Appalachian Food Services is the sole licensee authorized to sell, serve, and distribute food on campus. With the exception of a wedding cake, no food of any kind may be brought into Plemmons Student Union without prior written permission. There is a $1.50 per person cake fee for any cake not ordered from Appalachian Food Services. This covers cutting and serving. We do not set-up or move any cake not ordered from Appalachian Food Services. Any cake ordered from our on-site bakeshop does include set-up.
In arranging for receptions, the final attendance must be communicated to Appalachian Food Services, a minimum of seventy-two (72) hours prior to the event. Guarantees made for Saturday are due by 5:00 pm on Wednesday. Food for the event will be produced based on the guaranteed attendance. Charges will be made according to this guaranteed number and it shall not be subject to reduction. Should a guarantee not be received on the date due, the expected number indicated on the Buffet/Banquet Event Order will become the final guarantee.
Menu Selections & Prices
Wedding menus are available; however, our Event Coordinators and culinary staff would be pleased to customize any menu to better serve your needs.
We are happy to schedule an appointment to discuss the menu and arrange a sample tasting. It is helpful if you have an initial meeting with our staff before scheduling a tasting. It helps with tailoring the tasting to your needs.
Menu tastings will only be scheduled after your reservation in the Plemmons Student Union has been confirmed. Due to cost and availability, we may not be able to provide all requested items.
We request that your menu selections be finalized a minimum of thirty (30) days in advance of your event. Prices are subject to change outside of six months before your event. Any increase will not exceed 10% of the originally quoted price.
Barware, linens and china are available for your event:

If you would prefer clear plastic plates and cups, these are available for purchase per item.
Price includes table cloths for buffet table only.
Deposits & Payments
Appalachian Food Services requires a deposit of 50% of your estimated food charges two (2) months prior to your event. The remainder of your estimated food charges is due thirty (30) days prior to your event. Failure to make any of these deposits could result in the loss of your booked space. Any additional charges for added staff hours or additional guests will be billed the day of the event and are due fourteen (14) days after the event date. Cash, check and credit cards (Discover, MasterCard, Visa) are acceptable payments.
Liability & Damages
You and person(s) under your control, or the control of contractors hired for your event will be held liable for damage(s) to any catering equipment or loss of silverware and china during the period of time of your event including setup and tear down.
Sales Tax & Labor Fees
Applicable state sales tax will be applied to all food and beverage purchases. All event staffing is included in the menu pricing, up to four hours of service.
Any additional time will be billed at:
- $27.25 hour per chef
- $24.00 hour per supervisor
- $20.00 hour per catering assistant.
If it is necessary to cancel an event due to adverse weather, Appalachian Food Services will hold all deposits toward an alternate date scheduled within twelve (12) months of the original event. If an event is not rescheduled within this period, 40% of the initial estimated event cost will be forfeited.
The performance of this Agreement by either party is subject to acts of God, war, government regulations, disaster, strikes, civil disorder, terrorism, complete curtailment of transportation, or the impossibility to substantially perform this Agreement. In such an event, the party seeking cancellation pursuant to this section shall give prompt notice. The party seeking cancellation of performance under this provision must exercise due diligence and take all reasonable steps to avoid, remove, and overcome the effects of the force majeure event.
